This Privacy Policy explains how KaabaRoom LLC collects, uses, shares, retains, and protects personal data when you visit the KaabaRoom website, create an account, contact us, or use our booking and travel-related services. It should be read together with our Terms and Conditions.

2. Scope of This Policy
This Policy applies to personal data processed by KaabaRoom through the Platform. Independent hotels, transport operators, tour organizers, payment providers, and other Service Providers may process personal data under their own privacy notices. We encourage you to review the notice of the relevant provider.
3. Personal Data We May Collect
- Account and contact data: name, email address, telephone number, country, account identifier, and authentication information.
- Booking and travel data: destination, dates, selected services, traveler names, preferences, special requests, booking history, and communications about a Booking.
- Identification and eligibility data: nationality, date of birth, identification or travel-document details, and visa or permit information only when reasonably necessary for a selected service or required by a competent authority or Service Provider.
- Payment and transaction data: payment status, currency, amount, transaction reference, billing details, and limited payment-method information. Full card details are generally handled by the payment provider through the authorized checkout process.
- Support and user content: enquiries, complaints, reviews, survey responses, and other content you choose to provide.
- Technical and usage data: IP address, browser and device information, language, approximate location derived from network information, pages viewed, searches, referral source, access time, cookie identifiers, and security logs.
- Data about other travelers: information you provide for companions included in your Booking. You must have authority to provide their data and make this Policy available to them.
Please provide only the information requested through an official KaabaRoom channel. Do not send identity documents or payment details through ordinary email or unofficial messaging channels unless we specifically provide an appropriate secure method.
4. How We Collect Personal Data
We collect data directly from you when you create an account, search, book, contact us, submit a form, or provide traveler information. We may also receive data from Service Providers, payment processors, fraud-prevention services, referral partners, or public authorities where permitted by law. Technical data may be collected automatically through server logs, cookies, and similar technologies.
5. Why We Use Personal Data
Depending on the service and applicable law, we may process personal data to:
- create and manage accounts;
- search for, arrange, confirm, modify, or support Bookings;
- process payments, refunds, invoices, and transaction records;
- communicate confirmations, service notices, support responses, and important changes;
- share necessary details with the selected Service Provider;
- verify identity or travel eligibility where lawfully required;
- protect users, prevent fraud, secure the Platform, and enforce our Terms;
- comply with legal, regulatory, tax, accounting, or lawful authority requirements;
- analyze and improve Platform performance and user experience;
- send marketing communications where you have consented or where otherwise permitted, with an option to unsubscribe.
Our legal grounds may include performance of a contract, steps requested before entering a contract, compliance with a legal obligation, consent, and legitimate interests where recognized by applicable law. Where consent is the basis, you may withdraw it without affecting earlier lawful processing.
6. When We Share Personal Data
We disclose only data reasonably necessary for the relevant purpose. Recipients may include:
- the hotel, accommodation, transport, tour, event, airline, boat, visa-support, or other Service Provider involved in your request;

- a purchaser, investor, successor, or adviser in connection with a proposed or completed corporate transaction, subject to appropriate confidentiality safeguards.
We do not authorize recipients to use personal data for unrelated purposes. Independent Service Providers may have separate legal responsibilities for their own processing.

Because KaabaRoom LLC is established in the United States and travel services may involve providers in Saudi Arabia or other countries, personal data may be processed outside your country of residence. Where applicable law requires safeguards for an international transfer, we will use a recognized transfer mechanism or other appropriate safeguard and limit the transfer to data reasonably necessary for the relevant purpose.

The Platform is not intended for minors to make Bookings independently. The adult is responsible for having authority to provide that information. If you believe a minor submitted data without appropriate authorization, contact us.
13. Third-Party Websites and Services
The Platform may link to independent websites or services. Their privacy practices are governed by their own notices, and KaabaRoom is not responsible for their independent processing. Review the relevant privacy notice before providing personal data directly to a third party.
